Margins, fonts and length

Writing the body

  1. First paragraph: why you’re writing — the purpose in one or two sentences.
  2. Middle paragraph(s): the details and facts the reader needs, such as dates, order numbers and what happened.
  3. Final paragraph: what you want to happen next, by when, and how to contact you.

Be specific and polite. Include reference numbers the reader can look up. If you are enclosing documents, mention them in the body and list them after the signature.

Worked example: a complaint letter in full block

Jordan writes to a customer relations manager about a damaged dishwasher. The letter starts with Jordan’s street address and the date at the left margin, then the manager’s name, title, company and address. A bold subject line gives the order number. “Dear Ms. Shah:” opens three short paragraphs — what was bought and what was wrong, what Jordan would like done and what is enclosed, and how and by when to reply. “Sincerely,” is followed by space for a signature, Jordan’s typed name and an enclosure line listing the receipt and photos. Switching to modified block moves the address, date, closing and name to the centre line.

“To Whom It May Concern” is still used for general references and certificates, but a role title such as “Dear Hiring Manager” feels more personal when you don’t know the name.

US and UK conventions

US business letters write dates as month-day-year and use a colon after the salutation. British letters usually write day-month-year, may omit punctuation after the salutation and closing (“open punctuation”), and pair “Dear Sir or Madam” with “Yours faithfully” and a named salutation with “Yours sincerely”.
